POSITION REPORTS TO: Executive Vice President

POSITIONS REPORTING TO HUMAN RESOURCES GENERALIST: Front Desk – Marketing Administrative Assistant

FLSA Status: Exempt

BASIC FUNCTION:

Overall responsibility to directly manage the Human Resource Department information and procedures. Responsible for THE Company’S Human Resource related procedures, benefits, administration and other related requirements. Manages compliance requirements, and programs according to regulatory laws. Responsible for hiring/placement and termination processes. Responsible for facilitating the resolution of personnel related concerns and issues. Participates as a strategic partner in the creation and implementation of the long term Human Resource goals for the company.

SPECIFIC RESPONSIBILITIES:

Maintain strict confidentiality in all areas of work

Benefits Administration – Coordinate and administer the company benefit plans. Work thru Executive Vice President for recommended update/change benefits to meet future needs, including analyzing benefits annually. Communicate benefits to employees, process enrollments, changes, and elections. Maintain various benefits websites.

401k Plan – Work with third party administrators and Investment Company to coordinate and processes necessary actions. Monitor incoming and outgoing funds for the plan. Monitor and follow-up with non-active accounts. Process documents in accordance with regulations. Analyze annual recommendations and proposals for the plan and work thru Executive Vice President to execute plan changes. Prepare annual required census data and provide regulatory information needed for filing of 5500 forms and other governmental/compliance reviews of the plan. Assure actions are in line with Trustee and Authorized signer requirements.

Employee Welfare Fund – Work with President to assist with Fund as requested.

Employee Recruitment – Work with supervisors to determine needs, skills and develop plan of action accordingly. Generate appropriate job ads as needed. Coordinate interview/hiring processes. Assist with and review the transition plans, compensation/benefit plans, and offer letters prior to being conveyed. Work with temp services for specific needs.

New Hire Orientation – Meet with new employees to complete necessary documents, review overall company concepts, and give basic 90-day plan with guideline of post 90-day benefits. Process all regulatory compliance requirements both internally and externally for employee. Upload information into the HRIS/Payroll system. Provide new hire info as required for system access and assignment.

Terminations – Coordinate necessary steps, process exit letters, provide information for terminations. Process all regulatory compliance requirements both internally and externally for former employee. Assure termination is processed in all areas related to benefits, payroll, and system access.

Maintain required databases and census information for employees.

Maintain all confidential files and records for employees.

Develop and process weekly and on-going reports for management.

Develop supervisor and employee training as part of overall development plans.

Maintain, update, review, and implement employee manuals, policies, and procedures related to Human Resource.

Monitor rules, laws, regulations and compliance for updates/changes and inform Executive Vice President when the company is required to make changes to comply.

Provide appropriate tools, training and resources to assist managers and supervisors with employee evaluations, written warnings, disciplinary actions, and praise.

Union – Coordinate grievance procedures, including administration of Step 3. Coordinate and participate with upper management, CFO, and attorney during negotiation processes. Remain familiar with the CBA provisions and language. Administer decision making processes according to CBA and review with upper management.

Attend and participate in Human strategic meetings, as requested, to plan for “next generation”, growth, and overall future plans. Provide human resource related impacts as foreseen for future.

Document issues, situations, and other information as needed for human resource department.

Safety and Workers Compensation – Assist Health, Safety, & Environmental Director as needed to coordinate and provide employee information.

PHYSICAL REQUIREMENTS:

Sitting, bending, and standing for long periods of time Physical ability to work and maneuver around work areas

QUALIFICATIONS:

Degree in HR/Management (B.A. or B.S.) preferred

Minimum 5 Years experience in Human Resource Management with knowledge of current employment law, compensation, benefits, administration, and conflict management.

High level of confidentiality required Must be willing to execute NDA Experience with Unions preferred

Proven ability to act within the best interest of the company

or extensive relevant HR experience

Knowledge of payroll and accounting processes

Professional verbal and written communication skills are required

Proficient computer skills are necessary

Experience with Microsoft Word, Excel, and Outlook

Valid Driver’s License
