Job Position: First Impressions and Accounting Support Coordinator

Location: ASHEVILLE, NC 28803

Pay Rate: $18.00-22.00/hr

Responsibilities:

Office Setup and Administration:

  • Open and prepare the office for the day

  • Manage incoming calls and provide excellent customer service, ensuring prompt communication with the team

  • As the first point of contact in the building with all guest, welcome each and assess their needs

Coordination and Scheduling:

  • Schedule interviews, coordinating with candidates and interviewers.

  • Coordinate candidate interviews for the day and testing, such as forklift assessments or OSHA certifications.

  • Assist with applicant orientation and other support to recruiters.

  • Monitor and record light-duty employee hours and transitional duty status.

Administrative Duties:

  • Conduct background checks in compliance with company policies and regulations.

  • Ensure completeness and accuracy of applicant data in the applicant tracking software (ATS).

  • Assist the payroll department in obtaining employee time records from client.

  • Issue paycards as needed for employees.

  • Perform periodic audits of I-9 forms and maintain accurate records.

  • Generate and review E-Verify reports for compliance.

Financial and Record Keeping:

  • Process Accounts Receivable (A/R) and Accounts Payable (A/P) on a weekly basis.

  • Upload employee insurance offer letters for documentation.

  • Act as the payroll backup for company if ever needed.

Language Assistance:

  • Offer Spanish or possibly other language translation assistance to applicants as needed

Compliance and Reporting:

  • Assist with Unemployment claims/processing.

  • Conduct daily and weekly audits.

  • Prepare and review weekly reports, identifying areas for improvement and taking corrective actions.

  • Maintain data integrity and organization in the ATS.

*Perform other duties as assigned to support the organization’s smooth operation.

  • Proficiency in using computer applications and familiarity with software systems.

  • Excellent multitasking and prioritization skills.

  • Strong problem-solving abilities and the capacity to work independently.

  • Professional and friendly demeanor with outstanding customer service skills.

  • Previous experience in Accounts Receivable (A/R) and Accounts Payable (A/P).

  • Preferred fluency in Spanish.
