Job Title: Firm Administrator

A mid-size full-service law firm in Florida seeks an Office Administrator with a strong background in bookkeeping (Quickbooks), information technology, human resources, and facilities management.

 

Responsibilities:

• Policy implementation

• Financial controls: Management of general ledger accounts, financial statement distribution and special reporting; trust account and distribution of client funds; client billing and receivables; financial planning, budgeting and cash flow reports

• Human resources: Development and implementation of firm-wide policies and procedures, including Handbook updates as required by law and procedure manual updates as functions change; recruitment, training, and supervision of secretarial and paralegal staff

• IT systems: Maintaining, with the support of outside IT consultants, a highly reliable platform for attorney email, trial-support technologies, and other IT support, whether users are on-site

• Physical facilities management: Managing the physical space and the landlord/tenant relationship, tenant build-out projects, contractor negotiations, space planning, and facility maintenance.

 

Requirements:

• Excellent communication skills

• The ability to interact effectively with staff at all levels

• Strong supervisory and teambuilding skills.

• 5+ years of experience as an administrator/manager

The successful candidate will be proficient in QuickBooks and the Microsoft Office suite, and possess in-depth knowledge of the accounting cycle including the preparation of financial reports. The candidate must also be comfortable in a cross-platform technology environment, and well versed in all human resources issues.
